Summary:
A positive member of the Infusion and Sedation Leadership Teams providing support and collaboration to both departments as demonstrated by task such as accurately scheduling patient appointments, maintaining databases as directed by the manager, handling problems and answers inquiries in accordance with Hospital policies, follows policies and procedures for dealing with outside agencies, assists in maintaining a safe and orderly physical space, solves problems or routes them to appropriate staff.
 
Responsibilities:
- A positive attitude, excellent communication and organizational skills are essential as well as the ability to multi-task.
- Greets all clinic staff and patient family/visitors in a professional and friendly manner, answers telephone and directs calls appropriately.
- Monitors and provides smooth operation of office by setting and revising priorities based on workload and anticipating needs and deadlines.
- Schedules and collaborates with other departments and patient families for the scheduling of patients for Infusion and Sedation services.
- Maintains the Infusion and Sedation Services schedule templates.
- Event Planning and oversight, which includes registration, preparing handouts, agendas, audio visual needs, public relations and food service.
- Compiles and prepares monthly statistical reports, and satisfaction surveys for the department as directed by the manager.
- Processes purchase orders, capital requisitions, expense forms, invoices.
- Maintains files and security of confidential information.
- Sets up Interviews and assists with necessary logistical arrangements for departmental candidates.
- Schedules departmental meetings, records, composes and distributes meeting minutes and notices for Infusion and Sedation Services Departmental meetings.
- Working with third party pharmacies to arrange for the delivery of Patient Supplied Medications.
- Work with authorization specialists and Infusion manager/clinical coordinator to ensure authorization is in place for each infusion appointment.
- Backup for the PSR's.
- Functions as site liaison/contact person on daily communications with hospital departments, outside agencies and patient families, and reports ongoing issues to practice manager.
- Analyzes and works to resolve billing and service problems with customers.
- Troubleshoots maintenance and housekeeping problems for the clinic.
- Assists practice manager with orientation and training of new PSR personnel and ongoing training and monitoring of established PSR staff.
- Distributes work and communicates to PSR staff in a consistent and equitable manner and fosters teamwork.
- Evaluates processes and recommends solutions and operational improvements for efficient work flow and to create a customer-friendly environment.

Technical Expertise
1.Experience in a front office medical function is required.
2.Experience with maintaining confidential information is required.
3.Experience working with all levels within an organization is required.
4.Experience in healthcare is preferred.
5.Proficiency in MS Office [Outlook, Excel, Word] or similar software is required. Electronic Medical Record software and scheduling software is preferred.
Education and Experience
1.Education: High school diploma or equivalent is required Associate's degree is preferred.
2.Certification: None.
3.Years of relevant experience: 3 to 5 years is preferred.
4.Years of experience supervising: None.
